How we handle your property enquiry and contact details.

Who is responsible for your information?

Information you provide
Our enquiry form asks for your name, email address, phone number and property address or postcode. It also collects the property type and condition, your preferred selling timescale, contact preferences, any callback or introduction requests, and any message you choose to add. Please do not include financial documents, identification documents or sensitive personal information.
The required fields help us identify your enquiry and contact you. If you prefer not to use the form, you can call or email us. The first postcode step only fills in the main form in your browser. It does not send an enquiry.
Why we use this information
We use your information to reply to you, arrange a requested callback, understand the property you would like to sell and discuss a possible transaction. We rely on our legitimate interests in responding to enquiries and operating our property business. Where necessary to take steps towards a contract with you at your request, we rely on that contractual basis.
We use an introduction request to discuss whether you would like to speak to an independent mortgage broker or property conveyancer. Ticking an option does not sign you up to marketing or authorise automatic sharing with another business.
How the form reaches us
When you select “Submit enquiry”, your browser sends the completed form to Web3Forms, operated by Web3Creative. It processes and stores the enquiry and sends an email notification to info@rfkgroup.co.uk. Read Web3Forms’ privacy policy and its data processing agreement.
When you approach or interact with the enquiry form, the homepage loads an embedded hCaptcha check to help prevent automated submissions. This contacts the verification service before you submit and can involve your IP address, browser, device and interaction information. hCaptcha is provided by Intuition Machines, Inc. See hCaptcha’s privacy policy. You can call or email us instead of using the form.
Who may receive your information?
RFK team members handling your enquiry may access it. Our website host is Hostinger and our email service is arranged through GoDaddy. These services may process technical information and correspondence to operate and protect the website and mailbox. Web3Forms and hCaptcha provide the submission and verification services described above. Web3Forms uses infrastructure providers including AWS, Cloudflare and Hetzner; its spam checks may share submitters’ IP and email addresses with CleanTalk and Akismet.
Before sharing your details for a referral, we will identify the broker or conveyancer, explain what information would be shared and why, and ask your permission. You can withdraw that permission by contacting us; this does not affect processing already carried out lawfully. An independent provider will have its own privacy notice. We may also share relevant information where required by law or necessary to deal with a specific legal claim.
International processing
Our providers may process information outside the UK. Web3Forms operates from India and uses infrastructure in multiple regions. Its data processing agreement describes Standard Contractual Clauses and the UK Addendum where applicable. hCaptcha’s provider is based in the United States; its privacy policy explains its international processing and UK Extension to the EU–US Data Privacy Framework.

How long information is kept
We keep enquiry correspondence while your enquiry or requested introduction is active, while further communication is reasonably expected, or where particular records are needed for a legal obligation or a specific dispute. We delete or anonymise information when these reasons no longer apply.
We have configured Web3Forms to permanently delete stored submissions after 30 days. This applies to enquiries submitted through this form from its launch. Deleting a stored submission does not delete copies already delivered to our mailbox; those follow the RFK retention policy described above. Contact us to request deletion; we will consider your request under the rights described below.
Your rights
Depending on the circumstances, you can ask to access, correct or erase your information, restrict its use, request portability, or object to processing based on legitimate interests. You can withdraw consent where we rely on it. Contact info@rfkgroup.co.uk to make a request.
You can also complain to the Information Commissioner’s Office. We would welcome the opportunity to address a concern first.
Security checks and decisions
Automated anti-spam checks can block a form submission. Contact us by phone or email if you cannot submit the form. Property enquiries and any potential offer are reviewed by our team; this website does not calculate an automatic offer.
